Zoho One: Key Features and Updates

Intelligence with Zia AI

Zoho One leverages its AI assistant, Zia, to aggregate and contextualise data from multiple applications, including third-party platforms, into actionable insights.

  • Ask Zia: Provides prompt-based searches across multiple apps, delivering schedules, pending tasks, meeting notes, and actionable items in a single view.
  • Zia Hubs: Automatically organises executed contracts from Zoho Sign and meeting recordings from Zoho Meetings.
  • Federated Intelligence: Enables decision-making across apps, breaking data silos and improving productivity.

Zia’s models do not use customer data for training, ensuring privacy and compliance. Planned updates will allow multi-hub querying and integration with third-party apps to provide cross-departmental insights. Using AI Bridge and the Model Context Protocol (MCP), users can connect third-party LLMs to their data and knowledge graphs for custom workflows.

Connected User Experience (UX)

The platform introduces Spaces, grouping apps for context-aware navigation:

  • Personal Space: Individual productivity apps.
  • Organisation Space: Company-wide communication tools like Forums, Town Hall, and Ideas.
  • Department Spaces: HR, Marketing, Finance, and other function-specific apps.

Other UX enhancements include:

  • Action Panel: Customisable panel across Zoho apps, showing meetings, tasks, emails, and messages.
  • Expanded Dashboard: Consolidates data from all connected apps, personalisable with widgets.
  • Vani: Visual-first intelligent virtual workspace for collaboration.

Zoho One supports up to 100 custom home screens, allowing organisations to manage multiple teams or businesses within a single platform. It serves as a unified workspace by connecting Zoho and third-party applications, acting as a central “front door to work.”

Integrations and Administration

Zoho One now includes integrated tools for simplified management:

  • Centralised Integration Panel: View, create, monitor, and configure connections across Zoho and third-party apps.
  • Unified Portal: Consolidates multiple app-specific portals into a single interface.
  • Smart Offboarding: Workflow-driven integration for user transitions, device data, and permissions.
  • Administration Console: Powered by Zoho Directory, offering anomaly detection, Bring Your Own Keys, and audit logs.

Today’s Zoho One update redesigns the user experience to reflect how work is evolving from an app-based system to a platform-based system. Customers are not just licensing apps with Zoho One. They are licensing confidence. They expect Zoho to handle the technology side and let them focus on being productive in their business. Our enhancements in this release deliver exactly that—a unified experience enabled through unified integrations, context, and data.
